Clean up and segment a customer list

A practical way to use AI for this job in a small business, with a prompt you can copy.

Your customer list is a spreadsheet with 900 rows, duplicates, blank emails, 'Mr Smith' and 'John Smith' as separate people, and no idea who bought what. You know it's valuable. You just can't use it.

The job
Clean up and segment a customer list
Tool(s)
ChatGPT (with file upload) or Excel/Google Sheets with Copilot or Gemini
Time saved
2-4 hours (estimate). My rough estimate, not a measured result.

The prompt

Prompt
Here's a CSV of my customers: [upload]. Remove obvious duplicates, standardise the suburb and phone formats, and add a column grouping them by [last purchase date / service type]. Show me what you changed.

Replace everything in [square brackets] with your own details. Don't paste in anything you wouldn't want stored by the AI provider.

Steps

  1. Export your list and remove anything you don't need to share.
  2. Upload and run the prompt.
  3. Spot-check 10 rows.
  4. Import the clean list back into your CRM or email tool.

A worked example

An Albury bike shop exports customers from their point-of-sale system. The owner removes phone numbers and street addresses first, then uploads the file to ChatGPT and asks it to find duplicates, standardise names and suburbs, and group customers by what they bought (road, mountain, kids' bikes, servicing only) and when.

It returns a cleaned file and a summary: 140 duplicates removed, five segments. The owner now knows 210 people bought a kids' bike more than two years ago, and those kids have probably outgrown them. That's a very targeted email (for those who've opted in).

Where it goes wrong

AI can merge two different people with the same name, or split one person into two. Spot-check the duplicates before deleting anything, and keep your original file. Big files can also get truncated quietly; check the row count at the end matches what you expect.

Time saved

Cleaning a messy list by hand takes 2 to 4 hours or more. With AI and file upload, plan for 45 to 90 minutes including checks. These are my estimates for a typical small business, not measured results.

What it costs (AUD)

File uploads are limited on free plans, so a big list may need a month of a paid plan. Excel with Copilot and Sheets with Gemini come with some Microsoft 365 and Google Workspace plans; check yours.

The free plans of ChatGPT, Claude and Gemini handle this fine. If you end up using AI every day, the paid plans are roughly: ChatGPT Plus approx. A$30 a month, Claude Pro approx. A$29 a month billed monthly (US$20, or about A$24 a month if you pay yearly), and Google AI Pro approx. A$33 a month through the App Store. Prices approx., October 2026. Some are billed in US dollars, so your bank may add a foreign transaction fee. Check the vendor's pricing page before you buy.

Australian notes

This is personal information, so be careful. Remove phone numbers, addresses and anything sensitive before uploading. Only email the people who've consented to marketing under the Spam Act 2003. If your turnover is over $3 million, your APP obligations apply, including telling people how you use their data.

Privacy: the Privacy Act and the Australian Privacy Principles (APPs) cover most businesses turning over more than $3 million, plus some smaller ones such as health providers. Even if you're under the threshold, treat customer details with care: strip names, phone numbers and addresses before you paste anything into an AI tool.

My verdict

Handy, but check your privacy obligations before uploading customer data to any tool.

Common questions

Is it safe to upload a customer list to AI?

Strip it to the minimum (first name, suburb, purchase category) and check the tool's data settings. Business plans often don't train on your data.

What's a useful segment?

Something you'd send a different message to, like 'bought over two years ago' or 'service customers only'.

How often should I clean my list?

Once or twice a year is plenty for most small businesses.

Do this today

Export your customer list, delete the phone and address columns, and ask AI to find the duplicates. Start there.
