Create staff training quizzes

A practical way to use AI for this job in a small business, with a prompt you can copy.

You trained the new starter last week. Did they actually take it in? You won't know until something goes wrong with a customer.

The job
Create staff training quizzes
Tool(s)
ChatGPT or Claude, plus Google Forms
Time saved
1-2 hours per quiz (estimate). My rough estimate, not a measured result.

The prompt

Prompt
Based on this SOP: [paste], write a 10-question multiple-choice quiz to check a new staff member understands it. Include the correct answers and a one-line explanation for each.

Replace everything in [square brackets] with your own details. Don't paste in anything you wouldn't want stored by the AI provider.

Steps

  1. Paste the SOP.
  2. Run the prompt.
  3. Build the quiz in Google Forms with auto-marking.
  4. Use it in onboarding.

A worked example

A Hobart retail store pastes its returns policy and point-of-sale procedure into ChatGPT and asks for a 10-question multiple-choice quiz with answers explained. The questions cover refund rules, when a manager is needed, and how to process an exchange.

The manager builds it in Google Forms with auto-marking. New staff complete it after their first week. One newbie gets the 'change of mind' refund question wrong, which leads to a five-minute chat that probably saves a customer complaint.

Where it goes wrong

AI writes questions with obvious answers or tricky wording. Read each one as a new staff member would. Make sure every answer matches your actual policy, not general advice. Update the quiz when your procedures change. One more thing: keep the quiz friendly. If people feel tested rather than helped, they'll guess their way through it and you'll learn nothing useful about the gaps in your training.

Time saved

A training quiz takes 1 to 2 hours to write. With AI, 20 to 30 minutes, plus building the form. These are my estimates for a typical small business, not measured results.

What it costs (AUD)

Google Forms is free; Microsoft Forms comes with Microsoft 365.

The free plans of ChatGPT, Claude and Gemini handle this fine. If you end up using AI every day, the paid plans are roughly: ChatGPT Plus approx. A$30 a month, Claude Pro approx. A$29 a month billed monthly (US$20, or about A$24 a month if you pay yearly), and Google AI Pro approx. A$33 a month through the App Store. Prices approx., October 2026. Some are billed in US dollars, so your bank may add a foreign transaction fee. Check the vendor's pricing page before you buy.

Australian notes

For retail, make sure the training material reflects Australian Consumer Law. Customers have rights to repair, replacement or refund for major faults; 'no refunds' signs aren't allowed. If you collect staff names and scores, store them securely and only for training purposes.

Privacy: the Privacy Act and the Australian Privacy Principles (APPs) cover most businesses turning over more than $3 million, plus some smaller ones such as health providers. Even if you're under the threshold, treat customer details with care: strip names, phone numbers and addresses before you paste anything into an AI tool.

My verdict

Nice pairing with the SOP use case.

Common questions

How long should a quiz be?

Ten questions is plenty. Short quizzes get finished.

Should the quiz be marked?

Use it to find gaps, not to catch people out.

Can AI make questions from a video?

Paste in the transcript and it can.

Do this today

Take one training document you already have and ask AI for a 10-question quiz. Give it to your newest team member this week.
