Explain your profit and loss in plain English

A practical way to use AI for this job in a small business, with a prompt you can copy.

Your accountant sends you a profit and loss statement. You nod, file it, and still have no real idea whether the business is doing better than last year or why.

The job
Explain your profit and loss in plain English
Tool(s)
ChatGPT or Claude (or your accountant's AI features in Xero/MYOB)
Time saved
30-60 minutes (estimate). My rough estimate, not a measured result.

The prompt

Prompt
Here's my profit and loss summary for [period]: [paste figures, no account numbers]. Explain in plain English what's going up, what's going down, and three questions I should ask my accountant.

Replace everything in [square brackets] with your own details. Don't paste in anything you wouldn't want stored by the AI provider.

Steps

  1. Export a summary P&L; remove anything identifying.
  2. Run the prompt.
  3. Take the questions to your accountant or bookkeeper.
  4. Don't make tax decisions from the AI's answer.

A worked example

A Newcastle plumbing business owner exports his P&L from Xero for this year and last, removing the business name. He uploads it to Claude and asks: explain this in plain English, what's changed, and what should I ask my accountant?

The answer: revenue is up 12%, but materials costs are up 25%, so the gross margin has dropped. Vehicle costs have also jumped. Suggested questions: are we pricing materials correctly, and is it time to review the vehicle lease? He takes those to his accountant and they have the most useful meeting in years.

Where it goes wrong

AI can misread a column or confuse this year with last year, especially in messy exports. Sanity-check the big numbers. It also speculates about causes, so treat its explanations as questions to ask, not answers. And never act on tax suggestions without your accountant.

Time saved

Understanding your P&L might take 30 to 60 minutes of puzzling, or a paid meeting. AI gives you a plain-English summary in 10 minutes, so your accountant meetings are better. These are my estimates for a typical small business, not measured results.

What it costs (AUD)

Xero plans in Australia range up to A$107 a month for Comprehensive and A$143 to A$250 for the Ultimate tiers (AUD, including GST, October 2026). MYOB Business Pro is A$70 a month after its intro offer. Both now have built-in AI features (Xero's JAX and MYOB's Ask Iris), so check what your plan includes before paying for anything else.

The free plans of ChatGPT, Claude and Gemini handle this fine. If you end up using AI every day, the paid plans are roughly: ChatGPT Plus approx. A$30 a month, Claude Pro approx. A$29 a month billed monthly (US$20, or about A$24 a month if you pay yearly), and Google AI Pro approx. A$33 a month through the App Store. Prices approx., October 2026. Some are billed in US dollars, so your bank may add a foreign transaction fee. Check the vendor's pricing page before you buy.

Australian notes

AI is not a tax agent or accountant. Use it to understand your numbers and ask better questions, not to make tax decisions. Only registered tax and BAS agents can give tax advice for a fee. Remove your business name, ABN and bank details before uploading financial reports to a general AI tool.

Privacy: the Privacy Act and the Australian Privacy Principles (APPs) cover most businesses turning over more than $3 million, plus some smaller ones such as health providers. Even if you're under the threshold, treat customer details with care: strip names, phone numbers and addresses before you paste anything into an AI tool.

My verdict

Good for understanding. Your accountant is still your accountant.

Common questions

Is AI accurate with financial reports?

It's good at explaining structure and trends but can misread numbers. Check anything important against the report.

Should I upload my Xero data?

Export a summary report rather than giving access to your whole file, and remove identifying details.

Can AI replace my accountant?

No. It helps you understand your numbers so you get more from your accountant.

Do this today

Export last month's P&L from Xero or MYOB, remove your business details, and ask AI to explain it in five dot points.
