Organise your week from a brain dump

A practical way to use AI for this job in a small business, with a prompt you can copy.

It's Monday morning. You've got quotes to send, a BAS due, two jobs to finish, a kid's assembly at 2pm and an inbox you're scared to open. Everything feels urgent, so nothing gets done properly.

The job
Organise your week from a brain dump
Tool(s)
ChatGPT or Claude
Time saved
30-60 minutes a week (estimate). My rough estimate, not a measured result.

The prompt

Prompt
Here's everything on my mind this week: [brain dump]. Sort it into: must do this week, can wait, delegate, and drop. Then suggest a rough plan for Monday to Friday, with the hardest task early in the day.

Replace everything in [square brackets] with your own details. Don't paste in anything you wouldn't want stored by the AI provider.

Steps

  1. Dump everything without filtering.
  2. Run the prompt.
  3. Disagree with it where you know better.
  4. Put the plan in your calendar.

A worked example

A Gold Coast pool technician dumps everything into Claude: 12 jobs, three quotes, chasing two unpaid invoices, ordering chemicals, calling the accountant about the BAS, and 'fix the ute's tail light'. The prompt asks it to sort into must-do, should-do and can-wait, and to suggest which days to do what, given he's on the road most mornings.

The plan puts quotes and invoice chasing in a 30-minute block on Monday and Wednesday afternoons, the accountant call on Tuesday, and the tail light on Thursday on the way past the auto shop. It's not magic. It just gets the mess out of his head and onto a list he can actually follow.

Where it goes wrong

AI doesn't know that the 'quick' call to your accountant always takes an hour, or that Tuesdays are your busiest day. Tell it. Otherwise it'll build a tidy plan that collapses by lunchtime. And don't hand it priorities blindly: if it puts 'update Instagram' above 'chase $8,000 invoice', overrule it.

Time saved

Planning a messy week can take 30 to 60 minutes of shuffling. With a brain dump and AI, it's 10 to 15 minutes. These are my estimates for a typical small business, not measured results.

What it costs (AUD)

Free plans work well. Put the plan into the calendar or to-do app you already use.

The free plans of ChatGPT, Claude and Gemini handle this fine. If you end up using AI every day, the paid plans are roughly: ChatGPT Plus approx. A$30 a month, Claude Pro approx. A$29 a month billed monthly (US$20, or about A$24 a month if you pay yearly), and Google AI Pro approx. A$33 a month through the App Store. Prices approx., October 2026. Some are billed in US dollars, so your bank may add a foreign transaction fee. Check the vendor's pricing page before you buy.

Australian notes

Put BAS and super due dates in your list so they don't slip. If you lodge through a registered BAS or tax agent, your due dates may differ from the standard ones, so check with them. The ATO's website lists the current key dates.

Privacy: the Privacy Act and the Australian Privacy Principles (APPs) cover most businesses turning over more than $3 million, plus some smaller ones such as health providers. Even if you're under the threshold, treat customer details with care: strip names, phone numbers and addresses before you paste anything into an AI tool.

My verdict

Surprisingly calming. It's a thinking partner, not a boss.

Common questions

Isn't a to-do list enough?

For some people, yes. The AI's value is sorting and estimating, which is what's hard when you're tired.

Can it schedule things in my calendar?

Some tools can connect to calendars, but I'd add the blocks yourself. It takes two minutes and you stay in control.

What if my week blows up anyway?

It will sometimes. Re-run the prompt on Wednesday with what's left.

Do this today

Set a timer for five minutes, write down everything on your mind, and paste it into the prompt. Then do the first must-do item.
